Who we are looking for…

We’re seeking a fantastic Client Coordinator who will assist our Loan Officers in our Austin branch in partnering with Realtors, Builders, and other clients in securing mortgage financing.  In this role, you must be technically competent and driven to help our customers.  You will need to bring enthusiasm, attention to detail, and a servant heart to this role.

  • The Client Coordinator is responsible for providing support to Loan Officer with customer service and the loan process; may be the initial point of contact for a customer and must be able to effectively communicate to the customer, including receiving information from a customer.  The Client Coordinator will work in a team to manage a pipeline of loans and be a contact for customer communication throughout the process of the loan from loan approval to Clear-to-Close. Effective communication with internal and external customers is critical in meeting key performance metric and contributing to the success of the team.

  • The Client Coordinator will be a contact for navigating the entire loan process with the customer, informing the customer, asking for any additional documents as needed, following up with the customer on the conditions needed and answering the customers questions along the way. This role main activity will be speaking with loan officers, customers, providing guidance, explaining documentation requirements, answering questions, asking appropriate questions and listening to the client’s needs.

Duties and Responsibilities:

  • Handles basic administrative tasks as needed

  • Communicate with customer and Loan Officer consistently and effectively, while providing excellent service 

  • Perform any duty assigned that will allow the Licensed Loan Officer to devote more time to originating new business.

  • Making calls out and receiving calls, coordinating all parties in a real estate transaction

  • Schedules customer application appointments for Loan Originators

  • Assist the Loan Officer with marketing and maintaining database.

  • Acts as a point of contact for customers and collects additional documentation as needed

  • Following loan approval, the Client Coordinator will work with borrower to fulfill all external conditions

  • Help improve the quality of the loan application data and the speed with which it is moved through the processing system

  • Set up loan files, manually and on the computer as soon as the file is received.

  • Assist clients with questions and concerns and assists with problem resolution via phone or email

  • Maintain contact schedule with customer and Loan Officer, updating loan record on all communication 

  • Maintains positive working relationship

  • Work closely with our Loan Officers to ensure a timely and accurate experience for our clients throughout the entire mortgage process

  • Communicate effectively and build relationships internally between the closing, UW, VC, set up, and lock desk departments

  • Set expectations, provide timely status updates, and establish deadlines for customers on returning conditions

  • Driving activities to meet customer’s expectations and to meet an on time closing 

  • Comply/conform to all laws and regulations related to mortgage lending.

  • Scheduling closing dates, contingency dates and loan lock expirations

Job Requirements


  • High School Diploma or equivalent

  • One year of administrative and mortgage experience

  • Excellent typing and computer skills

  • Minimum 2 years of experience using Microsoft Office Suite (Word, Excel, Outlook, etc.)

  • Organized with good problem solving skills

  • Good verbal and written communication

  • Good customer service and organizational skills

  • Organized and detailed in their work

  • Must be able to speak with borrowers on the phone and via email

  • Can take direction and work with a team

  • Positive Attitude

  • Provide world-class customer service and respectful, consultative guidance to your clients
